New Business —
Excused Absence Policy:
- Charlotte shares that the charges for the AP&P Committee have not been officially approved yet as Charlotte wanted to discuss the specific charges with SenEx since there were a couple charges that had been carried over from previous years that may be out of scope of the committee. The charges will be voted on at the Oct 29 University Senate meeting.
- One charge that Charlotte discussed with SenEx about is the Excused Absence Policy. The charge for AP&P that has been carried over from previous years is to evaluate the impact of the Excused Absence Policy on constituent workload and explore what education and university resources can be implemented to facilitate the related processes.
- Charlotte asked for clarity as it seems too broad for the committee.
- The other area was quiz language being added into the excused absence policy. This also didn’t seem within the scope of the committee.
- The Excused Absence Policy language was removed from the AP&P Charges.
- Charlotte thanks the committee for their review of the program discontinuance proposals. Charlotte will do a short write-up which will go to University Senate for a vote at the Oct 29th meeting.
- Charlotte asks if Casey can give overview of her project that Charlotte and some of the committee members are working on as well:
Casey Wallace (University Registrar) gives big picture overview on policy working groups:
- Two working groups that are identifying a variety of policies across University offices, including USRR and FSRR. They are valuating how those policies are impacting KU students on their enrollment, student record, and administrative processes.
- Trying to look at how the policies interact and impact each other. They working groups would like to implement one large recommendation of policy changes so that when one area is impacted, it aligns with the others.
- An example is the add and drop policy. Students can add classes through the 20th day but on day 15, if they start dropping classes, they receive a W on their transcript.
- The two working groups are meeting every other week and making great progress. By end of the year, we should have some solid recommendations. It will take about a year to implement the changes in the system.
- If anyone would like to be part of one of these work groups, let Casey know.
FacEx Appeals Form Updates:
- The committee discusses opportunities to improve the FacEx appeals process and how the form can be clarified and process improvements.
- How to inform students and make the process more clear when requested changes may result in a retroactive tuition reassessment.
- The committee expressed support for an electronic form and workflow.
- The committee plans to form a FacEx Form Subcommittee and loop in other campus partners that work with the form for their insights.
- Shayla will send out poll and schedule FacEx Form Subcommittee meetings.
Meeting adjourned.
